JOB DESCRIPTION:


The office manager at Jewish Family Service is likened to an “air-traffic controller”, making sure that all planes are flying smoothly and without delay.  If you look at the job responsibilities, you will understand why.


JOB RESPONSIBILITIES:


Answering telephone for the agency - first point of entry for the agency


Responsible for organizing Board/Committee Meetings

  

Checking for room availability, booking dates in calendar, completing set-up sheets

Sending notices via e-mail to all Board/Committee members and collecting RSVPs

Preparing materials for meeting folders

 

Paperwork related to opening and closing clinical cases and sending to archives


Maintaining an accurate listing of open clinical cases by individual worker, by case type and a general master list


Preparing quarterly statistical reports


Ordering and inventory of all office supplies, and maintaining office equipment


Bookkeeping 


Accounts payable and receivable

Miscellaneous bookkeeping duties as requested by controller

Bank deposits

Balancing petty cash

All work related to client billing such as:


Entering client charges from caseworker day sheets into QuickBooks

Taking payments from clients

Monthly billing

Verifying insurance coverage including copay/deductible payments.

Set up new client sub-ledger numbers

Update and maintain accurate case loads

      

Fundraising

     

Entering pledges and donations in donor database and QuickBooks (Donor Perfect)

Sending thank-you cards and letters to donors and honorees

Keeping track of all RSVPs, volunteers, for Annual Fundraiser



Copying, filing, and mailing/shipping as requested by Executive Director, Casework Director, and Social Workers

Maintaining confidentiality at all times

Assisting with programs that JFS sponsors



Qualifications:


Proficiency in Microsoft Word, Excel, Outlook

Experience with Donor Management systems preferred

3 years office experience

Ability to work cooperatively with professional staff, board and Jewish communal organizations as well as independently

Engaging & flexible personality with strong organizational skills

Ability to manage multiple tasks simultaneously and prioritize those tasks

Ability to maintain confidentiality
